Im Artikel “ Basiswissen für GründerInnen Teil 2 – Schulungsplan aufstellen wie geht das?“ habe ich einen einfachen Weg gezeigt, wie man Schulungspläne aufstellt und Schulungen plant.
Durchgeführten Schulungen müssen allerdings auch dokumentiert werden, denn sonst habt Ihr keinen Nachweis der Durchführung!
Die Dokumentationen über die Durchführung der Pflichtschulungen (Lebensmittelsicherheit und Arbeitsschutz) sind den Behörden auf Nachfrage im Betrieb vorzulegen. Auch UnternehmerInnen selbst müssen in geeigneter Weise ihre Kenntnisse nachweisen können. Zum Beispiel müssen alle Erst- und Folgebelehrungsnachweise nach IFSG im Betrieb vorliegen!
Analog ist der Nachweis problemlos darzulegen
Die Schulungsnachweise der MitarbeiterInnen sind klar zu belegen durch Unterschriften derselbigen sowie eine Schulungsbestätigung / Schulungszertifikat der betreffenden Schulung.
Denn die Teilnehmenden müssen nach erledigter Schulung selbst unterschreiben, dass sie die Schulung absolviert haben. Entweder in einer TeilnehmerInnenliste oder auf der Teilnahmebestätigung. Auf einer TeilnehmerInnenliste sollte stets der Text zu finden sein: Inhalt der Schulung, Datum, Teilnehmer und der Satz (oder ein ähnlich formulierter: „Durch meine Unterschrift bestätige ich, dass ich den Inhalt der Schulung verstanden habe. Mir ist bewusst, dass offene Fragen stets mit meinem Vorgesetzten zu klären sind“. Wird Schulungsmaterial ausgehändigt, so muss der Empfang mit dieser Unterschrift ebenfalls bestätigt werden.
Diese Schulungsnachweise heftet Ihr dann zusammen mit einer Inhaltsübersicht, oder direkt dem Skript über die Themen der Schulungen im Ordner „Schulungen“ ab. Das Deckblatt dieses Ordners ist Euer ausgedruckter Schulungsplan, dahinter folgen die Reiter mit den Themen der Schulungen sowie den einzelnen Nachweisen.
Digitale Verwaltung von Schulungsnachweisen
Diejenigen unter Euch, welche eine digitale QM App benutzen, z.B. meine Flowtify–Kunden, könnten diesen Nachweis auch über eine digitale Schulungsliste abbilden; die Schulungsnachweise könnten hochgeladen werden und die erledigten Schulungen über die Berichtsfunktion mit dem Filter „Schulungen“ gedruckt / gespeichert werden. Da aber nicht jeder Mitarbeiter die Berechtigung hat Berichte zu generieren, ist dies nur ratsam, wenn stets eine Person mit entsprechender Berechtigung im Betrieb anwesend ist. Damit Behördenvertretern auch die entsprechenden Nachweise gezeigt werden können.
